Activalues Inc. (hereinafter referred to as the "Company") recognizes the importance of personal information and related information, and establishes and thoroughly enforces the following Privacy Policy (hereinafter referred to as the "Policy") regarding the various services provided by the Company (hereinafter referred to as the "Services").

Definition of Terms

  • Personal Information

The Company shall acquire personal information through lawful and fair means.

The information acquired includes:

  • Audio recordings of calls made using the Service's extension telephone feature
  • Text data generated by processing such audio recordings using AI or other technologies.

Purpose of Use of Personal Information

The Company shall use personal information within the scope of the following purposes and to the extent necessary for the performance of its business:

  • To deliver information optimized for individual users of the Services.
  • To improve and enhance the quality of the Services through statistical analysis and other means.
  • To respond to inquiries regarding the Services.
  • To conduct surveys concerning the Services.
  • To send information regarding campaigns, new products, and other offerings conducted by the Company.
  • To accurately understand and record the contents of calls.
  • To prevent and respond to troubles/issues.
  • To provide information to accommodation facilities.
  • For other purposes incidental to the above purposes of use.

Cookies

The Company uses cookies on the Services' website. In addition, cookies may be used by certain advertising systems. Cookies are technology that saves browsing history and other data sent and received between a browser and a server as a file on the user's device. If a user prefers not to use cookies, they can configure their browser to block them. However, blocking cookies may affect your use of the Services on the website.

Provision of Personal Information to Third Parties

The Company may outsource the handling of personal information to external service providers to the extent necessary for the provision of the Services.

Furthermore, in processing audio data, the Company may use services provided by business operators located in foreign countries. We will obligate such business operators to take appropriate safety management measures through contracts and strive to protect personal information.

Security Control Measures for Personal Information

  • The Company maintains the accuracy of personal information and manages it securely.
  • The Company takes appropriate information security measures to prevent loss, destruction, alteration, or leakage of personal information.
  • The Company appropriately manages personal information through the establishment of operational systems and employee training, and takes preventive measures against the loss, destruction, alteration, or leakage of personal information.
  • When a user completes the procedure to discontinue the use of the Services, all personal information of that user will be deleted.
  • Upon termination of the Services, the personal information of all users will be deleted.
  • Furthermore, to ensure that these safety control measures are appropriately implemented, the Company acquires information security certifications from third-party institutions and continuously maintains and improves its personal information protection system.

Requests for Notification of Purpose of Use, Disclosure, Correction, Suspension of Use, etc.

If a user makes a request regarding their personal information for disclosure, correction/addition/deletion, suspension of use/erasure, cessation of third-party provision, or notification of the purpose of use, the Company will respond sincerely and promptly in accordance with the Act on the Protection of Personal Information after confirming that the person making the request is the user themselves.
However, if the request does not meet the requirements stipulated by the Act on the Protection of Personal Information, or if there are grounds permitted by the Act or other laws and regulations to refuse disclosure, etc., we may not be able to comply with the request.
Additionally, there are no fees charged by the Company to the user for requests for disclosure, etc. However, communication expenses, transportation expenses incurred by the user to contact the Company, and costs incurred by the user in preparing materials for identity verification as specified above shall be borne by the user.

Revision of the Privacy Policy

The Company will appropriately review the operational status regarding the handling of personal information, strive for continuous improvement, and may modify this Policy as necessary. The revised Privacy Policy will be published on this site at any time.
